CCCD Travel & Conference Expense & Reimbursement GuideReview prior to completing the CAR. Your guide to what is covered and eligible for reimbursement.

The following information is provided as a courtesy. The IPD is not affiliated with CoastCCA and recommends that <7.49 LHE part-time faculty contact CoastCCA directly for funding allowance and other details.

Part-time faculty teaching 7.49 LHE or less district-wide may be covered under the Coast CCA agreement. As your district-wide LHE may change from semester to semester, please contact your division office to confirm your current LHE and funding eligibility.

(Those who teach 7.5+ LHE are eligible under the Institute for Professional Development (IPD) in accordance with the CFE contract, the full-time Union at Coast, which has a different process and different amount of available funds than CoastCCA)

FUNDING: Up to two applications each semester, not to exceed up to $2,800 per academic year. Funding is issued on a first-come, first-served basis, determined based on available CoastCCA funds.

GWC and CoastCCA CAR process:

  1. PT faculty member works with their division coordinator to complete a CAR. Attach conference information (screenshot of conference description, date, location, and agenda if available)

  2. Division Coordinator routes the CAR through Adobe Sign for:
    1. Requestor signature
    2. Dean for signature
    3. CCA President to confirm eligibility, enter budget number, funding amount, and signature
    4. College President for signature

  3. Division Coordinator uploads the completed CAR to the Signed CARs Teams folder and hyperlinks it to the CAR Spreadsheet.xlsx  within the "for processing" tab

  4. If travel is domestic, the requestor may begin making travel arrangements once it is signed by the College President.

  5. If the travel is international, the requestor must wait until the request is approved by the Board of Trustees before making arrangements. They can contact Diana Retes if they have questions or need the Board deadlines.

Please contact your division office with questions or concerns.
